This comprehensive Return and Refund Policy outlines the terms under which customers may request a cancellation, refund, or modification of their booking with Habibi Tour & Travels.
Our goal is to ensure transparency, fairness, and customer satisfaction while balancing the operational commitments we make with our partners and service providers.
Eligibility for Cancellations and Refunds
At Habibi Tour & Travels, all tour cancellations and refund requests are governed by the following timelines and conditions:
- Refund requests are accepted if submitted between 7 to 15 days before the scheduled tour start date.
- Cancellations made more than 15 days in advance may be eligible for a full refund, subject to minimal administrative charges.
- Cancellations made between 7 and 15 days prior to departure may be eligible for a partial refund, after deducting applicable processing fees and non-refundable third-party service charges.
- No refunds will be provided for cancellations made less than 7 days before the tour, except in cases of:
- Documented medical emergencies
- Verified acts of God (natural calamities, political unrest, etc.)
- Government travel restrictions (subject to review and approval by Habibi Tour & Travels)
Please note that refunds are not guaranteed in these cases and will be evaluated on a case-by-case basis.
Non-Refundable Components
Some components of your travel booking may be non-refundable, depending on the policies of our partner hotels, airlines, transportation vendors, and government authorities. These typically include but are not limited to:
- Domestic and international flight tickets once issued
- Hotel reservations marked as “non-refundable”
- Entry permits to restricted or protected areas
- Visa or documentation processing fees
- Special promotional or discounted tour packages
In such cases, Habibi Tour & Travels cannot recover those costs and thus cannot issue a refund for those specific elements.
Customized Tour Packages
For customized tour packages, which include special arrangements, private guides, or personalized itineraries, cancellation charges will vary depending on the nature of services confirmed. Because these packages are designed exclusively for you, Habibi Tour & Travels may have already made partial or full payments to service providers in advance.
Refunds for customized tours will be calculated after assessing:
- Hotel and transportation cancellation charges
- Activity provider terms
- Guide/driver allocations
- Season-specific pricing adjustments
- Administrative and service fees
How to Request a Cancellation or Refund
To initiate a cancellation or refund request with Habibi Tour & Travels, you must submit a formal request via email or phone, clearly stating the reason for cancellation along with supporting documents (if applicable). Please ensure your refund request includes:
- Full Name (as per booking)
- Booking Reference Number / Invoice Number
- Travel Dates and Destination
- Reason for Cancellation
- Preferred Refund Method (Bank Transfer / UPI / Credit Card reversal)

Refund Process & Timelines
Once your cancellation request is approved, Habibi Tour & Travels will initiate the refund process. Refunds are usually processed within 7 to 10 business days, depending on the mode of payment. Refunds will be issued via the same payment method used during booking unless otherwise requested.
Please note:
- Bank processing times may vary based on your location and financial institution.
- Refunds via UPI or mobile wallets may take up to 5 working days.
In cases involving third-party services (flights, hotels, activities), refunds will be initiated only after receiving confirmation and refunds from the respective vendors.
Special Circumstances and Force Majeure
Habibi Tour & Travels reserves the right to cancel or reschedule any tour due to circumstances beyond our control. These may include but are not limited to:
- Natural disasters (floods, earthquakes, cyclones)
- Political unrest or government advisories
- Pandemic-related travel bans or lockdowns
- Airline or transportation disruptions
In such cases, customers will be informed at the earliest, and we will:
- Offer a travel credit/voucher valid for future bookings
- Attempt to reschedule the tour at no extra cost (subject to availability)
- Provide a partial or full refund, depending on the nature of prepaid arrangements
Policy on No-Shows and Last-Minute Cancellations
- Failure to appear for a scheduled tour or package (no-show) will result in 100% cancellation charges.
- Cancellations made within 48 hours of departure are not eligible for refunds.
- In such instances, all pre-paid components including hotel stays, transport, permits, and guide services are forfeited.
